Operator Manual

RTV Planner is the control room for Roxom TV: build the schedule, protect every block with fallbacks, run preflight and send a browser-based signal into OBS or vMix. This page is public; admin actions still require an Okta sign-in.

Before You Start

  • Open the console and sign in with your Roxom Okta account. There is no separate password.
  • Only allowlisted email addresses are admitted. If yours is refused, ask someone with access to add it.
  • An operator with access manages the list under Admin, Allowlist.
  • This manual is public. Everything under /admin needs a signed-in session.

Go Live Workflow

  1. 1Open Prepare and get the content ready: plates, media, people, Vimeo imports and music.
  2. 2Mark every asset you plan to air as Ready. Draft and failed media must not be scheduled.
  3. 3Open Program and create the broadcast day, then build the rundown on the day schedule.
  4. 4Use Fill range with plates when a clock window needs a timed plate loop.
  5. 5Set the Fallback policy for the channel: silent video loop, plate rotation or emergency slate only.
  6. 6Clear every critical schedule health issue before you go further.
  7. 7Work through the runbook preflight checks for the day.
  8. 8Mark the day Ready, then Activate it.
  9. 9On the capture machine open Capture, click Open live output, then click Start Output once to unlock audio.
  10. 10Capture that browser window in OBS or vMix.
  11. 11Move to Operate for the rest of the broadcast: on air, up next, alerts and recovery.
  12. 12Stop the broadcast from Operate or Capture, then complete the shutdown checks.

Sending a Live Source

  • The live console sits on the Dashboard. It puts a third-party stream on air without rebuilding the rundown.
  • Choose when: Now to go straight to air, or Later to place the stream at a date and start time.
  • Choose the source: YouTube, Reuters or a direct HLS stream URL.
  • For Reuters, filter the channel list and pick a channel. Press Sync if the channel you need is missing or its endpoint expired.
  • Give the block a title. It shows on the block and in the schedule.
  • Send live now, or Schedule live. The console warns you when the block overlays programming already scheduled that day.
  • Add a lower third once the stream is on air: type the text, Apply text, then Show lower third. Hide it when the strap is done.
  • End live returns the channel to the programmed rundown.

Fallback Policy

  • Silent video loop plays a muted video in gaps and after a playback failure.
  • Plate rotation cycles ready plates and short promo videos. Build the rotation set and its loop order on the same page.
  • Emergency slate only skips the configured loops and shows the built-in slate.
  • The fallback playlist is chosen here too, separately from the schedule playlist.
  • Unscheduled gaps read Protected when the policy is ready and Unprotected when it is not.

Build these in Prepare, Plates. Mark a plate Ready before you schedule it or add it to a fallback rotation.

  • Guest Lineup, built from the People directory
  • YouTube plates and free-form Custom plates

The Custom Market Board is assembled by you: pick instruments from Crypto, Metals, Energy, Rates, US Equities and FX, set the order, and give the board a heading.

Checking Before Air

  • Preview one block before it airs from the rundown, on its own preview screen.
  • Preview a single plate from the Plates workspace.
  • Clear every critical issue on the day schedule before activating.
  • Confirm the fallback policy reads Ready.
  • Run the Go Live Drill on System health when trusting a new machine.
  • Reload the output window mid-video and confirm it resumes at the right show time.
  • Confirm OBS or vMix receives both video and audio.

Latest Updates

Sign-in moved to Roxom Okta, gated by an email allowlist you manage under Admin.
The live console moved off /live and onto the Dashboard, and gained Reuters as a source.
Reuters channels can be synced from the live console when an endpoint expires.
The Custom Market Board plate lets you assemble your own board of instruments.
The custom market plate gained intraday sparklines and a reordered card layout.
Market open, metals, oil, FX and debt plates were rebuilt on the chyron look.
Plates moved into a tabbed workspace: All, Weather, Data, Guests, YouTube, Custom market and Custom.
Music gained named playlists, with separate playlists for the schedule and for fallback.
Gap fill became the Fallback policy: silent video loop, plate rotation or emergency slate only.
Loop Builder is now Fill range with plates, and it only creates timed loops on the rundown.
The service moved onto Cloudflare D1 and R2, and deploys to Cloudflare Workers.
The Dashboard, the landing page and this manual are reachable from the admin chrome.
Schedule saves and output loads were made faster under live load.

Core Surfaces

Plates

Open

Build broadcast graphics and mark them Ready before scheduling. Tabs split the workspace into All, Weather, Data, Guests, YouTube, Custom market and Custom.

Media library

Open

Upload and verify playable video, image and audio files. Only Ready media should reach a rundown. Mark silent videos here when you plan to use them for fallback.

People

Open

Keep the guest directory that feeds Guest Lineup plates. Each lineup plate stores its own guests and order, so segments can differ.

Vimeo Import

Open

Sync Vimeo shows into the media library, then browse the synced episodes and schedule them like any other video.

Music

Open

Keep the MP3 library and build named playlists. The schedule playlist plays under plate, image and YouTube blocks; video blocks pause it and resume from the same position.

Calendar

Open

Choose broadcast days, create a day from a template or empty, and open its rundown.

Fallback policy

Open

Set what the channel shows in a gap or when playback fails. Choose a silent video loop, a plate rotation, or the built-in emergency slate.

Operate

Open

The control room during broadcast: what is on air, what is next, alerts, output diagnostics, background music, runbook progress and the recent audit trail.

Capture

Open

Use this on the OBS or vMix machine only. Open the live output window, click Start Output once to unlock audio, then capture that window. Operate is the monitor; Capture is capture-only.

System health

Open

Confirm environment, database, schema, storage, Vimeo, Reuters, output token, migrations and the last smoke result, then run the Go Live Drill.

Runbook

Open

Work the repeatable checklist for the day: preflight, live, incident and shutdown. Critical checks must be cleared before air.

Audit

Open

Read the operational record of schedule, media and output actions, filtered by action or entity.

Current Limits

  • Production is live and expects an operator present.
  • Browser output is confirmed through the web player, vMix and OBS.
  • Browser audio needs one click on Start Output after every load or reload.
  • Use Capture on the capture machine only. Operate is the monitor.
  • Fill range with plates builds timed loops on the rundown. It does not change the fallback policy.
  • The fallback policy is global. Set it before any day goes active.
  • Reuters endpoints are dynamic. Re-sync the channel if the stream expires before or during air.
  • Do not schedule draft or failed media.
  • Previously Recorded bugs apply only to normal video program blocks, not ads, promos, plates, images, fallback, Reuters or live overrides.
  • Weather plates use OpenWeather when a key is configured and Open-Meteo when it is not.
  • Metals plates use Roxom market data when available and fall back when it is not.
  • A live send placed with Now overlays whatever was scheduled. Check the warning before you confirm.
  • Secrets belong in environment variables or encrypted settings, never in docs or chat.
